Position Description

Counsyl is looking for a motivated Administrative Assistant to work alongside our Heads of Commercial and Medical Affairs organizations.  We’re in search of someone who thrives in a dynamic environment of shifting priorities to partner with some of the best and brightest in the industry.

What You'll Do

  • Own the calendars of several executives and be the go-to person for logistics
  • Assist in the preparation of presentations and format and copy edit a variety of documents, correspondence, reports, and/or other related items. Proofread documents for accuracy and completeness
  • Arrange travel, manage itineraries and coordinate last minute changes
  • Prepare expense reports
  • Manage Purchase Orders (PO’s) and work them through the process approval and payment process
  • Manage logistics for team meetings on and off-site
  • Take and distribute minutes (notes) for staff meetings and follow up on action items
  • Handle confidential and non-routine information and facilitate communication between appropriate departments
  • Maintain order; you’re well organized, and you keep the rest of your team that way too

About You

  • Exceptional communication skills, both verbal and written
  • Organized and punctual with a high attention to detail
  • Know how to coordinate a meeting and are able to balance conflicting schedules
  • Able to prioritize effectively and anticipate needs in an ever changing environment
  • Demonstrable success putting out fires and making process improvements to avoid them in the future
  • Strong personal commitment to meeting tight deadlines
  • Able to safely handle confidential information and exercise sound judgement
  • Believe no task is too big or too small
  • Mastery of Mac OS and Google Apps required
  • Bachelor’s degree preferred
